THE FIRST SCENT
THE RECEIPT KNEW SOMETHING THE QUOTE DIDN’T.
A quote described what could be booked.
A confirmation described what was booked.
An authorization described what was temporarily held.
A change record described what happened next.
A statement described what moved through the account.
A final receipt described what the journey became.
The numbers did not all match.
Dame Kitty Holmes did not ask which record was lying.
She asked which moment each record had witnessed.
THE FIRST RECORD PRESERVES THE PROMISE.THE FINAL RECORD PRESERVES WHAT HAPPENED.

THE CLUE
A DIFFERENT NUMBER IS NOT YET AN EXPLANATION.
The quote and receipt may describe different scopes.
They may describe different travelers, selections, dates, currencies, taxes, deposits, credits, holds, or stages of completion.
One may be an estimate.
One may preserve a purchase.
One may show temporary account activity.
One may include a later choice.
One may record the completed transaction.
The difference matters.
But subtraction alone cannot explain it.
BEFORE COMPARING THE NUMBERS,COMPARE THE JOBS OF THE RECORDS.
THE RECORD TIMELINE
PUT EACH DOCUMENT BACK IN ITS MOMENT.
A travel transaction is not one frozen page.
It is a sequence of records created as information becomes known and events occur.
THE QUOTE
What was proposed under the assumptions and selections visible at that moment.
THE CONFIRMATION
What the completed booking says was accepted, reserved, or purchased.
THE AUTHORIZATION
What an account was temporarily asked to make available or hold.
THE CHANGE RECORD
What was added, removed, exchanged, corrected, upgraded, reissued, or otherwise revised.
THE STATEMENT
What the payment account records as pending, posted, reversed, credited, converted, or separately presented.
THE FINAL RECEIPT
What the issuing business records after the relevant service, return, stay, sailing, rental, or transaction is complete.
The later record may know more.
That does not make the earlier record useless.
THE RECORDS ARE NOT COMPETING WITNESSES.THEY STOOD AT DIFFERENT POINTS ON THE JOURNEY.
WHAT THE QUOTE KNEW
A QUOTE CAN BE ACCURATE WITHOUT KNOWING THE ENDING.
A quote begins with the facts supplied to it.
Its value depends on what those facts include.
THE TRAVELERS
The number, ages, eligibility, membership status, residency, or other traveler facts entered at the time.
THE DATES AND ROUTE
The stay, sailing, collection, return, departure, arrival, and connection details used for the proposal.
THE SELECTED OPTION
The room, fare, vehicle, ticket, package, protection, experience, or rate being priced.
THE DISPLAYED SCOPE
The taxes, fees, extras, deposits, credits, or exclusions the quote says it presently contains.
THE ASSUMPTIONS
The availability, currency, duration, inventory, conditions, or traveler actions on which the amount depends.
THE VALIDITY
Whether the quote is informational, saved, time-limited, inventory-dependent, or protected until a stated event.
A quote may accurately begin the story.
It cannot testify about choices and events that had not happened yet.
ASK WHAT THE QUOTE INCLUDED.THEN ASK WHAT THE JOURNEY HAD NOT YET TOLD IT.
WHAT WAS ACCEPTED
CONFIRMATION AND AUTHORIZATION DO DIFFERENT WORK.
They may appear close together.
They should not be treated as interchangeable.
THE CONFIRMATION IDENTIFIES THE BOOKING
It should preserve the travelers, dates, route, selected option, recorded price or payment terms, and material conditions attached to the reservation.
THE CONFIRMATION MAY SHOW A SCHEDULE
An amount due now, deposit, balance due later, pay-at-property amount, credit, or refundable security may appear separately.
THE AUTHORIZATION TESTS AVAILABLE FUNDS
A payment account may temporarily reserve an amount before a final charge is posted.
THE AUTHORIZATION MAY DIFFER FROM THE FINAL CHARGE
It may include an estimate, security amount, incidental allowance, fuel allowance, or another temporary provision disclosed by the issuer.
THE AUTHORIZATION MAY LATER DISAPPEAR OR CHANGE
A released hold is not automatically a refund, and a pending amount is not automatically the completed charge.
THE ISSUING RECORD STILL MATTERS
The booking confirmation explains the purchase. The account record explains what happened on the payment side.
A CONFIRMATION SAYS WHAT WAS BOOKED.AN AUTHORIZATION SAYS WHAT WAS TEMPORARILY RESERVED.
WHAT HAPPENED NEXT
THE JOURNEY MAY HAVE EDITED THE MIDDLE.
The difference between a quote and a receipt often has a history.
A DATE CHANGED
A longer stay, later return, earlier departure, or new travel date may change the amount or conditions.
A TRAVELER CHANGED
A person may have been added, removed, corrected, or moved into another eligibility category.
AN OPTION CHANGED
A different room, fare, vehicle, cabin, seat, package, protection, or ticket may replace the original selection.
AN EXTRA WAS ADDED OR USED
Baggage, meals, fuel, tolls, parking, equipment, service, upgrades, or activities may enter after the quote.
A CREDIT OR ADJUSTMENT APPEARED
A promotion, correction, unused item, service recovery, refund, exchange value, or partial credit may reduce or rearrange the final record.
AN OUTSIDE EVENT INTERVENED
A delay, reroute, missed connection, cancellation, extension, damage report, or other operational event may create a new record.
A change does not explain itself merely by existing.
It needs a source, a time, a reason, and a resulting amount.
WHEN THE TOTAL MOVES,LOOK FOR THE RECORD THAT MOVED IT.
WHAT MOVED THROUGH THE ACCOUNT
PENDING, POSTED, REVERSED, AND CREDITED ARE NOT ONE EVENT.
The account statement can reveal movement that no single travel receipt displays in the same form.
PENDING
The account has received an authorization or provisional transaction that may still change.
POSTED
The transaction has moved into the account’s completed activity, subject to the account issuer’s presentation and timing.
REVERSED OR RELEASED
A pending authorization may be removed before it becomes a posted charge.
REFUNDED OR CREDITED
A later transaction may return value after an earlier charge has already posted.
SPLIT
One purchase may appear as several records, or several components may be collected by different participants.
CONVERTED
The business record and account statement may use different currencies or presentation amounts because conversion occurred elsewhere in the payment chain.
The statement is evidence of account activity.
It may not contain the full booking explanation.
FOLLOW THE MONEY THROUGH TIME.DO NOT FORCE EVERY MOVEMENT INTO ONE NUMBER.
EXHIBIT A — FICTIONAL
THE CAR THAT RETURNED WITH THREE MORE RECORDS.
The following example is fictional and exists only to demonstrate the method.
The North Lantern Rental Desk produced a quote for a three-day compact car.
The quote displayed:
ESTIMATED TOTAL — 246 TRAVEL CREDITS
The traveler completed the booking.
The confirmation preserved the compact car, three rental days, stated taxes, and the selected return location.
At collection, the account showed a temporary authorization of 396 travel credits.
Dame Kitty did not compare that hold directly with the quote and declare a 150-credit overcharge.
She opened the next records.
They showed:
- a 150-credit temporary security authorization;
- one additional rental day requested during the journey;
- a return with less fuel than the collection record documented;
- a fuel charge and one-day extension on the final receipt;
- release of the temporary security authorization;
- a posted final charge of 354 travel credits.
The quote had not predicted the additional day or fuel.
The authorization had not become the final charge.
The receipt knew what happened after the car left the desk.
THE DIFFERENCE WAS NOT ONE MYSTERY AMOUNT.IT WAS A SEQUENCE OF RECORDED EVENTS.
THE RECONCILIATION TEST
BUILD A BRIDGE BETWEEN THE FIRST NUMBER AND THE LAST.
Begin with the quote.
Do not jump directly to the receipt.
Walk the record forward.
STARTING AMOUNT
Write down the quote’s exact amount, currency, travelers, dates, selected option, and stated scope.
BOOKED AMOUNT
Record what the confirmation says was purchased, due, deferred, deposited, or payable elsewhere.
AUTHORIZATION ACTIVITY
Separate temporary holds and provisional amounts from completed charges.
ADDED AMOUNTS
List later selections, extensions, usage, penalties, service charges, or operational changes individually.
REMOVED AMOUNTS
List discounts, corrections, released holds, unused items, refunds, and credits individually.
FINAL BUSINESS RECORD
Identify what the receipt says was ultimately supplied, charged, credited, or left unsettled.
ACCOUNT OUTCOME
Match the final business record against posted transactions and subsequent credits, allowing for timing, splitting, and conversion.
If the bridge cannot be built, the unexplained gap becomes the question.
DO NOT MERELY CIRCLE THE DIFFERENCE.ACCOUNT FOR THE STEPS THAT CREATED IT.
THE RECORD TEST
ASK EACH DOCUMENT THE QUESTION IT CAN ANSWER.
WHAT WAS PROPOSED?
Ask the quote about the original assumptions, option, scope, and amount.
WHAT WAS ACCEPTED?
Ask the confirmation about the completed booking and its payment schedule.
WHAT WAS TEMPORARILY RESERVED?
Ask the authorization record about holds or provisional amounts.
WHAT CHANGED?
Ask every revision, message, voucher, reissue, extension, or adjustment record.
WHAT WAS ULTIMATELY SUPPLIED?
Ask the final receipt or provider record about completed items, usage, credits, and charges.
WHAT MOVED THROUGH THE ACCOUNT?
Ask the statement about pending, posted, reversed, split, converted, and credited activity.
WHAT REMAINS UNEXPLAINED?
Name the exact amount, item, date, currency, or event that still lacks a connecting record.
THE RIGHT DOCUMENT MAY HOLD THE ANSWER.FIRST GIVE IT THE RIGHT QUESTION.
WHAT TO KEEP
PRESERVE THE STORY AT THE MOMENTS WHEN IT CHANGES.
The strongest record trail is not a pile of unrelated screenshots.
It is a connected sequence.
THE QUOTE
Keep the option, scope, dates, travelers, amount, currency, timestamp, and visible assumptions.
THE CONFIRMATION
Preserve the booking identifier, selections, payment schedule, conditions, and named participants.
THE AUTHORIZATION RECORD
Record the amount, account description, date, pending status, and any explanation of the temporary hold.
THE CHANGE EVIDENCE
Keep requests, approvals, revised confirmations, reissues, messages, extension records, return reports, and adjustment notices.
THE FINAL RECEIPT
Preserve the completed itemization, taxes, usage, credits, deposits, final total, currency, and issuing participant.
THE ACCOUNT STATEMENT
Retain the relevant pending, posted, reversed, split, converted, refunded, or credited entries without exposing unnecessary account information.
THE TIMELINE
Write down when each record appeared and which event it followed.
KEEP THE FIRST RECORD.KEEP THE RECORDS THAT EXPLAIN THE LAST.
THE METHOD
LET THE RECORDS TELL THE STORY IN ORDER.
The investigation does not begin by accusing the highest number.
It begins by rebuilding the sequence.
- Freeze the original quote and its scope.
- Identify what the confirmation says was actually booked.
- Separate authorizations from completed charges.
- Arrange every later change by time.
- Add amounts created by new selections, usage, extensions, or events.
- Subtract released holds, corrections, refunds, and credits.
- Compare the final business receipt with the posted account activity.
- Name any remaining gap precisely.
- Ask the participant holding the relevant record to explain that gap.
The result may show a correct evolution.
It may show an error.
It may show that another record is still missing.
The method does not choose the answer in advance.
It makes the unanswered part visible.
FOLLOW THE RECORDS FORWARD.LET EVIDENCE—NOT SURPRISE—NAME THE DIFFERENCE.
CASE FILE 05 — FINDING RECORDED
A QUOTE BEGINS THE ACCOUNT. A RECEIPT RECORDS WHERE THE JOURNEY FINISHED.
The quote was not dismissed because the receipt knew more.
The receipt was not trusted merely because it came last.
Each record was returned to its moment.
The proposed option entered first.
The booking preserved what was accepted.
The authorization revealed a temporary hold.
The change records explained what the traveler and journey added.
The statement showed how money moved.
The receipt recorded the completed result.
Dame Kitty Holmes has placed the documents in chronological order.
For now.
DO NOT FORCE THE FIRST RECORD AND THE FINAL RECORDTO ANSWER THE SAME QUESTION.
